Too many event types

HALP!  I am a Renovation Building and Interior Designer, Project Manager, Consultant and Coach.  My business has multiple service types and I suspect I may have over-complicated this with far too many service types in Calendly. 

I meet people both virtually and in-person.  I charge fees for some things and not others, but need the option to waive the fee at times.  I provide full service design, on-call renovation consultation services, and I also provide coaching and consulting for industry professionals. 

I would LOVE some ideas and feedback on how I can consolidate and/or simplify.  I have tried to manage this with the routing function.  The feedback I’ve received from people is they found the number of options confusing.  On my end, the routing link breaks far too often when I make the slightest change to any event type, then I forget to update the new routing link in all the places (email signature, Slack channel, website, etc...)

My event types are currently:

  1. Residential Design
    1. New design client lead meeting, virtual, no fee.
      1. routes to a design service questionnaire
    2. New design client lead meeting, in person, with a fee and discount codes.
      1. routes to a design service questionnaire
    3. Full service client meeting, 30min, virtual, no fee.
    4. Full service client meeting, 2hr, virtual, no fee.
    5. Full service client meeting, in-person, no fee.
    6. On-call client meeting, virtual, with a fee and discount codes.
      1. Need the ability to buy a package of hours, then book multiple meetings.
    7. On-call client meeting, in-person, with a fee and discount codes

  2. Coaching and consulting
    1. New coaching and consulting client lead meeting, virtual, no fee.

Definitely got a handful of meetings on your hands, haha. The Routing Forms are a good start, but one thing I’d recommend is utilizing the Multiple Durations / Locations options. Its helped a lot of customers I’ve worked with in the past.

In your Event Settings, under the Duration & Location options, you have the ability to add those extra options:


This way, when a customer is routed to a specific event, they’ll be able to choose the duration/location that fits their case the best.

Thats just one way I think you could slim down the amount of meetings, I’ll leave this thread open in case anyone else has any other ideas!

I looked into that, which could work for my clients with ongoing contracts. For others, there is no way of charging the appropriate fee connected to the various time options.  I think the developers created Calendly with the idea that it would be serving corporate environments or B2B businesses.  Some of the added features seem a bit short-sighted or lacking in real world use-cases. I've also considered automating the fees with Zapier which I'm capable of doing.  It's a risky move, though, because a zap can fail when even the tiniest detail is changed.  In a service business, fees are changed annually, service offerings may be updated, etc.   It's tricky, for sure!
